Claude AI for Bookkeepers: The Questions, Requests and Close Prep Done Before You Open the Ledger

Claude AI for bookkeepers works when it is configured around each client’s coding rules, your close checklist, your templates and your exports, not around a chat box, and when nothing is ever posted to the ledger by the workspace. CoworkConsultant.com sets up Claude AI for independent bookkeepers and small practices: uncategorised transaction question lists, missing document requests, close checklists, month-end summaries, onboarding and CPA handoff notes, and a weekly list, live in 7 to 14 days.

Built for
independent bookkeepers and small bookkeeping practices on monthly client packages
What gets built
uncategorised transaction question lists per client, missing document requests, month-end close checklists, plain-language month-end summaries, onboarding packets, CPA handoff notes, weekly list
Live in
7 days for one person, 14 days for an owner plus staff, then 30 days of hands-on support
Who runs it after
you or a junior bookkeeper, after a hand-off session; you own everything
It never
post, categorise or reconcile in the ledger, send anything, state a tax position or deductibility, invent a balance or a category, or mix clients

The setup most bookkeepers have right now

You tried Claude on a client question email and it was fine, except it did not know that this client codes every Amazon charge to supplies unless it is over two hundred dollars, that the owner answers texts and ignores email, or that the CPA wants the handoff note in one specific format. So it stays a tool for the odd paragraph while the same fourteen “what was this?” questions get typed out per client, per month.

That is a configuration problem. A Claude workspace that has read each client’s coding rules, your checklist and your templates behaves like a senior bookkeeper who knows every client’s quirks. A blank chat behaves like a temp on day one. And the ledger stays untouched: the workspace drafts the questions, you post the entries.

A close day, before and after

The same five moments in a bookkeeper’s month. Left is how they run on a ledger, an inbox and memory. Right is how they run on a Claude workspace configured for your practice.

Before

8:00
UncategorisedExport the list. Fourteen transactions. Type fourteen questions, one at a time, for the fourth client this week.
UncategorisedThe question list is drafted per client from the export and that client's rules file: a proposed category where the rules cover it, one plain question where they do not, grouped for one reply.
9:30
DocumentsStill waiting on a bank statement and two receipts. The chase email gets written from scratch, again.
DocumentsThe request is drafted from your template, in your tone, at the firmness the client's history calls for, listing exactly what is missing.
11:00
Close checklistCopy last month's checklist forward. Tick from memory of what came in.
Close checklistThe checklist per client is already worked from the folder: received, missing, needs a question, ready for prep.
2:00
SummaryThe client asks how the month looked. You write the same explanation you wrote last month.
SummaryThe month-end summary is drafted in plain language from the figures in the folder, in your voice, with anything the CPA should see flagged.
4:30
CPA handoffYear-end approaches. The CPA wants notes in her format. You rebuild them from the ledger.
CPA handoffThe handoff note is drafted in the CPA's format from your close notes and the files on hand, open items listed, nothing about tax positions.

What gets built for a bookkeeping practice

Every build starts from your real clients, your real coding rules and your real close checklist. Each card below is one Claude workflow and a sample of what it hands you. Every category is proposed only from that client’s rules file and every figure is traced to an export, because the workspace never guesses a code and never touches the ledger.

Uncategorised transaction question lists

Per client from the export: proposed category where the rules file covers it, a plain question where it does not, grouped so the client answers in one reply.

Draft from the workspace

Question list · Ridge Landscaping · September · 14 items

09/04 [payee] $[amount]: proposed Supplies per rules.md line 12 · 09/11 [payee] $[amount]: [ask] payee not in rules, one question drafted · 09/18 transfer $[amount]: proposed Owner draw per rules, over your threshold, [ask] · Grouped into one message in your tone. Nothing posted.

Missing document requests

From your template, in your tone, at the firmness the client’s history calls for, listing exactly what is missing and the date the close moves if it does not arrive.

Draft from the workspace

Second request, firmer · Harbor Coffee Co

Subject: Two items still needed for September · We are still missing the [bank] statement and receipts for [two dates]. Without them the September close moves past [date]. A photo by Friday is enough. [Your name], [practice]

Month-end close checklists

Per client, worked from the folder: received, missing, needs a question, ready for prep, in your format.

Draft from the workspace

Close checklist · Ridge Landscaping · September

Bank statements: 2 of 2 · Credit card: received · Payroll summary: received · Loan statement: missing · Uncategorised: 14, question list drafted · Ready for prep: no, two items open · Close due: [date]

Month-end summaries in plain language

From the figures in the folder, in your voice, for the client, with anything the CPA should see flagged.

Draft from the workspace

Month-end summary · Harbor Coffee Co · September

Sales up [n]% on August per the export, three plain sentences on where it came from · Two expense lines higher than usual, named · One item flagged for the CPA, described only · No tax position stated

Onboarding packets and CPA handoff notes

New-client onboarding from your checklist and welcome template; year-end or quarterly handoff notes in the CPA’s format from your close notes.

Draft from the workspace

CPA handoff · Ridge Landscaping · year-end

In the CPA's format from /Templates/cpa-handoff.md · Closes complete through [month] · Open items: 3, listed with what is needed · Unusual transactions flagged in the year: 4, described · Nothing stated about deductibility or positions

Weekly list

Clients by close status, uncategorised counts, question lists unanswered by age, missing documents, closes due in 7 days, CPA handoffs pending.

Draft from the workspace

Monday list · [date]

Closed: 9 of 21 · Question lists unanswered: 6 (oldest 8 days) · Missing documents: 11 across 7 clients · Closes due in 7 days: 5 · CPA handoffs pending: 2 · Marked follow up: 3

Each workflow is written down, tested with you on a live client, and left in a form a junior bookkeeper can run.

What the workspace looks like

Configuration is not a setting. It is a folder on your machine that Claude opens, with your clients, their coding rules, your exports, your templates and one instruction file that says how the practice works and what must never be posted or sent. This is the shape of it.

Exports in, drafts out. Claude reads the uncategorised, statement and document exports you place in the folder; nothing is installed inside your ledger, nothing is posted, categorised or reconciled, and nothing is sent. If you want the workspace wired directly into QuickBooks or Xero, that is the Build lane below.

Three ways to work with me

Configure

Your Claude workspace, set up one-on-one

The Foundation Build for a solo bookkeeper, the Owner Build with the bookkeeping workflow set, and the Team Build for a practice with staff. Seven to fourteen days, on your machine, and you own everything.

Custom Claude plugins and skills for your practice

A questions skill that reads every client’s QuickBooks or Xero uncategorised export and drafts all the lists on the first of the month. A request skill that stages document chases by client history. Scoped separately, with developers on staff, through Strategized.ai.

Train

Your staff, running Claude without you

A hand-off session is included in every build. Add training for junior bookkeepers, recorded walkthroughs of your own workspace, and a refresher before year-end.

How the engagement runs

Before the clock starts. A 20-minute call about your client list, how closes run, which clients eat the most time, and which two or three workflows would give the most back. Then a short intake: your templates, your checklist, a sample of each client’s coding rules, your writing rules.

Week one. I build the workspace on your machine, with you on screen for the parts that need judgement. The first workflow runs on a real client’s export before the week ends.

Week two. The rest of the set goes in, the rules files and instruction files get tightened, and staff get a hand-off session.

After. Includes 30 days of hands-on support: two scheduled follow-ups and open calendar access, day or night.

You own everything that was built. It runs on Anthropic’s Claude under your own subscription. Connecting a ledger or a document-capture platform is deeper engineering, scoped separately with developers on staff; configuration is included, code is quoted on its own.

Which build fits a bookkeeping practice

  • A solo bookkeeper: the Foundation Build, or the Owner Build with the bookkeeping workflow set installed.
  • A practice with staff, owner first: the Owner Build, then the Team Build once the owner’s workspace has proven the pattern.
  • A practice with a ledger to connect, many clients, or a CPA firm relationship to fit around: a Custom Plugin Build, starting at $3,500, with bigger teams and integrations quoted in writing after a short call.

Package details are on the individuals page and the business owners page. Prices are fixed and published there.

What stays with you

Claude prepares. These decisions never leave your hands, and the instruction file says so in writing.

The ledger

Nothing is posted, categorised or reconciled by the workspace. It drafts questions and proposed categories; you make the entries.

Categories

A category is proposed only from that client’s rules file. A payee not in the rules, or any transaction over your threshold, becomes a question, never a guess.

Tax positions

No statement about deductibility or a tax position, ever. Items for the CPA are described and flagged.

Anything that goes out

Every question list, request, summary and handoff note is a draft. Nothing sends.

Client separation

Per-client folders and rules. One client’s coding decisions never leak into another’s list.

Figures

Every balance and amount comes from an export in the folder or is bracketed. Nothing is estimated.

Download the bookkeeper starter CLAUDE.md. The instruction file a bookkeeping practice’s Claude workspace starts from. The first lines are below; the full file has every section with bracketed placeholders.

One email with the file. No sequence unless you ask for one.

When you do not need me

A bookkeeper with five clients and time to learn can start with the accountants Persona Plugin on CoworkStack.ai, the bookkeepers playbook, and the free Learn Claude guides at Strategized.ai. Come back when the question lists for twenty clients start landing in the same week.

One honest note: I configure the workspace and the review steps. I do not give tax, accounting-standards or regulatory advice, and every output is a draft for you to review before it reaches a client, a CPA or the ledger.

    Frequently Asked Questions

What does Claude AI for bookkeepers actually do day to day?

CoworkConsultant.com configures Claude to draft uncategorised transaction question lists from each client’s rules, missing document requests, close checklists, plain-language month-end summaries, onboarding packets and CPA handoff notes, plus a weekly close list. You post the entries; it prepares the work around them.

Can Claude AI categorise transactions in QuickBooks or Xero for me?

It proposes a category only from that client’s rules file and only in the question list; it never posts or categorises in the ledger. CoworkConsultant.com configures it that way so a payee not in the rules, or any transaction over your threshold, becomes a question for the client rather than a guess in the books.

Is Claude AI safe for my clients' financial data?

CoworkConsultant.com sets up per-client folders and rules, an instruction file that says what never leaves the machine, and a review step before anything goes out. Whether that meets your engagement letters and your professional obligations is your call; the setup is shown to you in full.

Will it write client emails that do not sound like a robot?

It drafts them from your templates in your tone, at the firmness each client’s history calls for, and groups the month’s questions so the client can answer in one reply. CoworkConsultant.com builds the tone from your own best messages, not from a generic template.

How is this different from the accountants page?

The buyer. The accountants page is built for CPA firms doing review, engagement letters and client explanations. This page is built for the bookkeeper doing the monthly closes: question lists, document chases, checklists and the handoff to the CPA. CoworkConsultant.com configures the same kind of workspace to a different desk.

How much does it cost to set up Claude for a bookkeeper?

CoworkConsultant.com publishes fixed prices on the individuals page and the business owners page. A solo bookkeeper fits the Foundation Build or the Owner Build; a practice with staff fits the Owner Build then the Team Build. Connecting a ledger is scoped separately.

How long does the setup take?

CoworkConsultant.com builds a solo bookkeeper’s workspace in 7 days and a practice’s owner-plus-staff setup in 14, with 30 days of hands-on support after. Most bookkeepers schedule it right after a close.

Does it connect to QuickBooks Online, Xero, Dext or Hubdoc?

Not in the standard builds. CoworkConsultant.com starts with your exports, documents and templates in a folder. Connecting a ledger or document-capture platform directly is custom plugin development, scoped separately with developers on staff through Strategized.ai.

Bring the client whose question list is the longest. I will tell you on the call whether it is a Foundation Build, an Owner Build or something you can do yourself.

Works alongside the software you already run

You are not replacing QuickBooks Online, Xero, Bill.com or Dext. Claude works around the systems your practice already runs, on the documents, exports and files those systems produce.

    • QuickBooks Online
    • Xero
    • Bill.com
    • Dext
    • Hubdoc
    • Gusto

It works around the ledger, not inside it. Nothing touches client funds or account access, and you decide what it ever sees.

Whether a given system works through an existing connector, through a custom plugin built for it, or simply through the files it exports, depends on the system. We will tell you which before you spend anything.
