Claude AI for Coaches: Session Prep, Notes and Follow-Up Done Before Your Next Call

Claude AI for coaches works when it is configured around your clients, your method, your program materials and your calendar, not around a chat box. CoworkConsultant.com sets up Claude AI for business, executive and leadership coaches: session prep sheets, notes cleanup, follow-up emails, program proposals, content in your voice and a weekly list, live on your machine in 7 to 14 days.

Built for
business, executive and leadership coaches with 8 to 30 clients
What gets built

The setup most coaches have right now

You used Claude to draft a follow-up email and it was warm and generic, because it did not know what the client committed to last session, that she hates being told to “lean in”, or which module of your program she is on. So it stays a tool for the odd paragraph while session prep happens in the five minutes before the call and notes pile up in a voice memo app.

That is a configuration problem. A Claude workspace that has read your method, your client notes and your program materials behaves like an associate who has sat in on every session. A blank chat behaves like a motivational poster.

A coaching day, before and after

The same five moments in a coach’s day. Left is how they run on a calendar, a notebook and memory. Right is how they run on a Claude workspace configured for your practice.

7:45
Session prepScroll back through last month's notes for the client at 8:00. Find half of it.
Session prepThe prep sheet is ready: what you covered, the commitments she made and their status, open threads, the module you are on, three opening questions in your style.
9:15
NotesSession over. The notes are a voice memo and four words on a pad. They will be cleaned up someday.
NotesYou drop the memo transcript in the folder. The notes are cleaned into your template: themes, commitments, next session focus. Nothing added that was not said.
11:00
Follow-upThe follow-up email you meant to send after the 8:00 is now competing with the 11:00.
Follow-upThe follow-up is drafted in your voice from the cleaned notes: what you discussed, what she committed to, one resource from your library. You edit a line and send.
2:00
ProposalA referral wants a proposal. You open the last one and change the name.
ProposalThe proposal is drafted from your program materials for the fit you noted on the discovery call, with [investment] and [start date] bracketed for your decision.

ContentThe newsletter is due. You have nothing. You have thirty sessions of insight you cannot use by name.
ContentA draft in your voice from the themes across this month's notes, with no client identifiable and nothing quoted without a consent note in the file.

What gets built for a coaching practice

Every build starts from your real clients, your real method and your real calendar. Each card below is one Claude workflow and a sample of what it hands you. Every commitment, date and figure is taken from your notes or bracketed because the workspace never invents what a client said; it reads the file or asks.

Session prep sheets

From the client folder: last session’s themes, commitments and their status, open threads, the program module, opening questions in your style.

Draft from the workspace

Prep · Dana Ortiz · session 7 · [date]

Last time: hiring the first ops person, the fear underneath it · Commitments: post the role by [date] (status: [bracketed, not in notes]), stop doing payroll herself (done, per her email) · Open thread: the co-founder conversation · Module: 4 of 6 · Three opening questions in your style

Notes cleanup

A voice memo transcript or rough notes turned into your notes template: themes, commitments, next session focus, nothing added.

Draft from the workspace

Notes · Kestrel leadership team · session 3

Themes: decision rights, the meeting that runs long · Commitments: [name] drafts the decision matrix by [date]; [name] cancels the Thursday sync · Next session: review the matrix · Tagged [confidential], never used in content

Follow-up emails

In your voice from the cleaned notes: what you discussed, what the client committed to, one resource from your library, sent after your read.

Draft from the workspace

Follow-up · Dana · after session 7

Dana, the moment you said "I would rather do it wrong myself than watch someone else do it slowly" is the whole session. Two things by next time: [commitment 1], [commitment 2]. Chapter 3 of the delegation guide from your library is attached. [Your name]

Program proposals

From your program materials for the fit you noted on the discovery call, investment and start date bracketed, in your voice.

Draft from the workspace

Proposal · [referral name] · 6-month founder program

Your program description assembled for the fit from the discovery notes · What we work on, cadence, what is included, exactly as your materials state it · Bracketed: [investment], [start date], [payment terms] · Nothing promised about outcomes beyond your own language

Content in your voice

Newsletter, LinkedIn posts and program materials from the themes in your notes, with no client identifiable and no quote without a consent note in the file.

Draft from the workspace

Newsletter · September · theme: the first hire

Four paragraphs in your voice from the pattern across six clients this month, no client named or describable · One quote, from a file with a consent note · Three LinkedIn posts cut from the same draft · Headline options: 3

Weekly list

Sessions this week with prep done or not, follow-ups owed, client commitments due, proposals unsigned, materials to update.

Draft from the workspace

Monday list · [date]

Sessions: 11, prep sheets done 4 · Follow-ups owed: 5 (oldest 3 days) · Client commitments due this week: 8 · Proposals out and unsigned: 2 · Program materials flagged for update: 1 · Marked follow up: 2

Each workflow is written down, tested with you on live clients, and left in a form a virtual assistant can run.

What the workspace looks like

Configuration is not a setting. It is a folder on your machine that Claude opens, with your clients, your programs, your templates, your voice and one instruction file that says how you coach, what stays confidential, and what must never go out. This is the shape of it.

Exports in, drafts out. Claude reads the transcripts, notes and exports you place in the folder; nothing is installed inside your scheduling, recording or email tools, and nothing is sent from them. If you want the workspace wired directly into a platform, that is the Build lane below.

Three ways to work with me

Configure

Your Claude workspace, set up one-on-one

The Foundation Build for a solo coach, the Owner Build with the coaching workflow set, and the Team Build for a practice with associate coaches or a VA. Seven to fourteen days, on your machine, and you own everything.

See the builds →
Build

Custom Claude plugins and skills for your practice

A prep skill that reads your Fathom or Otter transcripts and builds every prep sheet for the week in one pass. A content skill that mines themes across sessions without ever surfacing a client. Scoped separately, with developers on staff, through Strategized.ai.

Plugin development →
Train

Your VA or associates, running Claude without you

A hand-off session is included in every build. Add training for a virtual assistant or associate coaches, recorded walkthroughs of your own workspace, and a refresher when the roster changes.

Ask on the call →

How the engagement runs

Before the clock starts. A 20-minute call about your method, your roster, how notes happen today and which two or three workflows would give the most time back. Then a short intake: your program materials, your templates, your voice examples, your confidentiality rules.

Week one. I build the workspace on your machine, with you on screen for the parts that need judgement. The first workflow runs on a real client before the week ends.

Week two. The rest of the set goes in, the voice file and instruction files get tightened, and your VA gets a hand-off session if you have one.

After. Includes 30 days of hands-on support: two scheduled follow-ups and open calendar access, day or night.

You own everything that was built. It runs on Anthropic’s Claude under your own subscription. Connecting a scheduling, recording or course platform is deeper engineering, scoped separately with developers on staff; configuration is included, code is quoted on its own.

Which build fits a coach

  • A solo coach with a roster under twenty: the Foundation Build, or the Owner Build with the coaching workflow set installed.
  • A coach with a VA or associate coaches, you first: the Owner Build, then the Team Build once your workspace has proven the pattern.
  • A practice with a course platform to connect, group programs, or a team of coaches: a Custom Plugin Build, starting at $3,500, with bigger teams and integrations quoted in writing after a short call.

Package details are on the individuals page and the business owners page. Prices are fixed and published there.

What stays with you

Claude prepares. These decisions never leave your hands, and the instruction file says so in writing.

Client confidentiality

Per-client folders and an instruction file that bans quoting one client to another and using any client material in content without a consent note in the file.

Advice and scope

The workspace never gives legal, financial, tax, medical or psychological advice in a draft. Where a client’s situation touches one, it describes and flags it for you.

What the client said

Commitments, dates and quotes come from your notes or are bracketed. Nothing is invented about a session.

Anything that goes out

Every email, proposal and post is a draft. Nothing sends, schedules, invoices or publishes.

Outcomes and testimonials

Proposals promise only what your own materials state. No testimonial or result is ever invented.

Your voice

Every draft loads your voice file first. If it is missing, the workspace stops and says so rather than guessing.

One email with the file. No sequence unless you ask for one.

When you do not need me

A coach with six clients and a settled routine can start with the business coaches Persona Plugin on CoworkStack.ai, the coaches playbook, and the free Learn Claude guides at Strategized.ai. Come back when prep and follow-up start eating the evenings a full roster was supposed to free up.

One honest note: I configure the workspace and the review steps. I do not give advice on coaching ethics, certification or client contracts, and every output is a draft for you to review before it reaches a client or the public.

    Frequently Asked Questions

What does Claude AI for coaches actually do day to day?

CoworkConsultant.com configures Claude to build session prep sheets from the client folder, clean voice memo transcripts into your notes template, draft follow-up emails in your voice, assemble program proposals from your materials, draft content from session themes without exposing a client, and keep a weekly list. You review; it prepares.

Will my clients' sessions stay confidential if I use Claude?

CoworkConsultant.com sets up per-client folders and an instruction file that bans quoting one client to another and using any client material in content without a consent note, plus a review step before anything goes out. Whether that meets your ethical obligations and your client agreements is your call; the setup is shown to you in full.

Can Claude AI write my newsletter and LinkedIn posts in my voice?

Yes, from your voice file and the themes across your session notes. CoworkConsultant.com configures it so no client is named or describable and no quote appears without a consent note in the file, which is the part that makes session insight usable in public.

Can it transcribe and summarise my coaching sessions?

It summarises transcripts you place in the folder from Fathom, Otter or Zoom into your notes template, capturing themes and commitments without adding anything that was not said. Recording and transcription stay in your existing tools; CoworkConsultant.com does not connect them in the standard builds.

Will it try to coach my clients or give them advice?

No. CoworkConsultant.com configures the workspace to prepare your materials and drafts, never to advise a client, and never to give legal, financial, tax, medical or psychological advice in any draft. Where a client’s situation touches one of those, it describes and flags it for you.

How much does it cost to set up Claude for a coaching practice?

CoworkConsultant.com publishes fixed prices on the individuals page and the business owners page. A solo coach fits the Foundation Build or the Owner Build; a coach with a VA or associates fits the Owner Build then the Team Build. Connecting a course or scheduling platform is scoped separately.

How long does the setup take?

    CoworkConsultant.com builds a solo coach’s workspace in 7 days and a practice’s coach-plus-team setup in 14, with 30 days of hands-on support after.

Does it connect to Calendly, Kajabi, Notion or my CRM?

Not in the standard builds. CoworkConsultant.com starts with your transcripts, notes, program materials and templates in a folder. Connecting a scheduling, course or CRM platform directly is custom plugin development, scoped separately with developers on staff through Strategized.ai.

    Book a free 20-minute call

Bring your roster and the client whose prep takes the longest. I will tell you on the call whether it is a Foundation Build, an Owner Build or something you can do yourself.

Works alongside the software you already run

You are not replacing Kajabi, Calendly, HubSpot or Notion. Claude works around the systems your practice already runs, on the documents, exports and files those systems produce.

    • Kajabi
    • Calendly
    • HubSpot
    • Notion
    • ActiveCampaign

Whether a given system works through an existing connector, through a custom plugin built for it, or simply through the files it exports, depends on the system. We will tell you which before you spend anything.
